What is a PBX phone system?

A PBX, or private branch exchange, is a telephone system that manages calls for an organization. It gives users internal extension numbers and controls how calls move between those extensions, external telephone services and business call-handling applications.

The word private distinguishes the organization’s internal telephone system from the public telephone network. The PBX maintains its own users, dial plan and routing rules while using trunks, gateways or a hosted provider when a call must reach an outside number.

A PBX may be a dedicated hardware appliance, software running on a local server, a virtual machine or a service operated by a cloud provider. Those deployment choices change who manages the platform, but the central purpose remains call control.

How does a PBX route a call?

For an internal call, a user dials an extension and the PBX locates the registered destination. For an external call, the PBX applies the dial plan and sends the call through an available trunk, gateway or telephone service. Incoming calls follow rules based on the called number, time, department or selected menu option.

During a call, the PBX tracks the session and applies permitted controls such as hold, transfer or conference. The exact media path depends on the system: some PBXs relay the audio, while others allow compatible endpoints to exchange media more directly.
